User Guide
Warka is the single web application your company uses to run daily operations: human resources and payroll, finance, sales, CRM, procurement, inventory, projects, documents, and reports. Everything lives behind one login and one menu, and you only see the parts your job needs. This guide is written for everyday users who have an account and want to get work done. It is task oriented: each section gives you short, numbered steps for a specific job. If you are rolling Warka out for a company rather than using it day to day, start with the Implementation Guide instead.
Logging in
Warka accounts are created for you by an administrator. There is no public sign up, so if you do not have a login yet, ask your administrator to create one.
To log in:
- Open your company's Warka web address in a browser (your administrator gives you this link).
- On the Login to Warka screen, type your Email / Username in the first box.
- Type your Password in the second box. You can click the eye icon on the right of the password box to show or hide what you typed.
- Click Login.

If your email and password are correct, you land on your dashboard. If you see "Invalid email/username or password," check for typos and try again.
Forgot your password? Click the Forgot password? link next to the password box, or ask your administrator to reset it for you.
Signing out. Click your name and picture in the top right corner, then choose Sign Out.
A tour of the interface
Once you are in, every screen shares the same layout: a top bar across the top, a sidebar down the left, and your working area in the middle.
The top bar
The top bar stays visible wherever you go. From left to right it has:
- A menu button that collapses or expands the left sidebar. Collapsing it gives you more room and shrinks the menu to icons.
- A search box ("Search anything...") for finding records quickly.
- A bell icon for notifications.
- A light and dark switch for changing the look of the app.
- Your name and picture. Click it for a small menu with Profile (your account settings) and Sign Out.
The left sidebar
The sidebar is your main menu. At the top is the Warka logo and a small line that reads "ERP" followed by your current workspace mode. Below that is the list of modules you can open.
- The sidebar only shows the modules your roles allow. If you do not see a module, your account has not been given access to it. That is normal, and you can ask an administrator if you need it.
- Some menu items have a small arrow (chevron) on the right. Click the item to expand it and reveal its sub sections, then click a sub section to jump straight to it. For example, HR & Payroll expands to Employees, Leave Requests, Attendance, Payroll, and more.
- The item for the screen you are on is highlighted so you always know where you are.
Workspace modes
At the bottom of the sidebar is a workspace mode card. Modes are a quick way to focus the menu on one kind of work:

To switch modes, click the card (it shows the current mode and a Switch Mode button), then pick a mode from the list. Switching a mode simply hides the modules that do not belong to it; it never changes your permissions or your data. If you cannot find a module you expected, make sure you are in Business mode, which shows everything you have access to.
The dashboard
The Dashboard (the first item in the sidebar) is your home screen. What you see depends on your role:
- Operational users (HR, finance, sales, and similar roles) see a business overview with key numbers and recent activity.
- Self-service users see their own summary: leaves taken, payslips, and their profile status, plus a shortcut to submit a leave request.
You can return to the dashboard any time by clicking Dashboard at the top of the sidebar or the Warka logo.
How roles shape what you see
Warka uses roles to decide who can do what. A role is a job-based permission that an administrator assigns to your account. Roles do two things:
- They control which modules appear in your sidebar.
- They control what you can do inside a module. Many areas have a regular user role for daily work and a manager role that can also approve and post. For example, an HR User can record a leave request, but only an HR Manager can approve payroll.
If you open something you do not have access to, Warka shows a friendly notice that tells you which role to ask an administrator for. For the full list of roles and what each one can do, see the Administration guide or the Security and RBAC reference.
Patterns you will use everywhere
Every module in Warka works the same way, so once you learn these patterns you can find your way around any part of the app.
- Section tabs. Inside a module, a row of small buttons near the top switches between sections (for example, in Sales: Overview, Leads, Opportunities, Quotations, Sales Orders, and Invoices). Click one to change what the list below shows. You can also jump straight to a section from the sidebar.
- Search bars. Most lists have a search box at the top. Start typing and the list filters instantly to matching records.
- The Create button. To add something new, look for a button such as New, Create, or Add (usually near the top right of a list). Clicking it slides a form in from the right side of the screen. This sliding panel is called a drawer.
- Filling in a drawer. In the drawer, fields marked with an asterisk (
*) are required. Some fields are simple text boxes; others are dropdowns, date pickers, or search-and-pick boxes where you can either choose an existing record or type a brand new name to create it on the spot. When you are done, click the Save or Create button at the bottom. Click Cancel to close the drawer without saving. - Opening a record. Click a row in a list to open its details, usually in a drawer on the right, where you can read more and take actions.
- Status labels. Small colored pills show the status of a record (for example, Draft, Open, Paid, or Approved), so you can scan a list at a glance.
The module guides
Pick the guide for the work you do. Each one uses the patterns above, so you can skim the ones you need.
- HR and Payroll - employees, recruitment, onboarding and offboarding, attendance and shifts, leave, expense claims, appraisals, and running payroll.
- Finance - sales and purchase invoices, recording payments, journal entries, and financial statements.
- Sales and CRM - leads, opportunities, quotations, and sales orders.
- Procurement and Inventory - material requests, suppliers, purchase orders, items, warehouses, and stock.
- Projects - projects, tasks, and progress tracking.
- Documents and Reports - the document repository and the reporting hub.
- Careers and Recruitment - the public careers page and how applications flow into recruitment.
- Administration - for administrators: creating users, assigning roles, and enabling or disabling accounts. </content>
